Client database management

Sinch allows you to keep a clear overview of all of the companies and clients you work with. Their contact details are always up to date, you can keep track of all their orders and transactions, generate invoices, send messages, reminders and more at any time, easily.

All your clients can be viewed and managed in Company list and Client overview. The Client overview page allows you to export a CSV format list of all clients and send group text messages and emails (see Client overview).

At first, you have to register your new client into the application. You fill in all of the important details including address, VAT number, and bank account into their profiles. You specify preferences about invoicing, due dates and reminders, and enter contact details. Keeping up to date information will help you easily manage all billing and communication through Sinch. The profile page contains information about the client company, personnel who serve as contact people for their orders, and data about your business dealings with the client, such as orders, invoices, ban lists, etc. All of the information can be edited on this page.

Pricing

For each new client, it is important to set up pricing based on which they will be invoiced for your work. You can either associate an existing price list to the company or create a new one, specifically customized for them if you need to have a client-specific pricing policy. By default, the new client is charged by the Basic price list (see Price lists).

Orders

When you have pricing set up, you can start taking orders from clients. They can:

  • Send a specification by email or otherwise outside of Sinch, in which case you can enter it into the application yourself (see Jobs).
  • Enter the order via their dedicated client interface (see Client Portal). We recommend doing it this way with regular clients - entering orders directly into the application will save time for both you and your client.

In both cases, the order can first be created in the Price quote mode. This means that the entered job serves as a calculation quote for the client. You can also generate a calculation of the order, issue a pro forma invoice or associate a to-do list so you as an administrator can keep track of the current requirements, changes and status of the order (see Orders).

Only after an approval process is an order confirmed, becomes an existing job and is opened for staff member registration (see Jobs).

Billing and invoicing

Once jobs are carried out, you can invoice your clients. Sinch keeps a clear overview of all of the billings and invoices. It is also linked to your internet banking so you see whether the client has paid, and you have a detailed overview of all of their payments and your revenue (see Finances).

Banlist

If for any reason (a previous bad experience for example), your client does not want a specific staff member to work for them, you can add the staff member to the company’s banlist. That way it is guaranteed that the staff member will not be able to sign up for any jobs and therefore will never work for this client again (see Banlist).
