Appointments

Appointments are any events or happenings that are not jobs or shifts, e.g. payouts, staff training, team building, etc. Creating an appointment rather than a job is helpful when you want to organize events that the staff members do not get paid for and your customers are not invoiced for, while you can still keep track of attendance, specify other important information or be able to send group messages to the attendees.

Creating a new appointment

  1. Go to the main menu on the left and click CommunicationNew appointment.
  2. Into the respective fields, fill in the:
    • Appointment name
    • Description
    • Type:
      • Staff training
      • Payouts
      • Meeting
      • Other
    • Visibility:
      • Public - Everyone can see appointments with public visibility in the app so they can sign themselves up.
      • Hidden - No one can see appointments with hidden visibility in the app so you can only sign up staff members manually by yourself.
      • Only staff members with VERIFIED profile
      • Only staff members with NON-VERIFIED profile
    • Beginning date and time
    • End date and time
    • Interval - Interval allows you to split the appointment into individual time slots so each staff member has a dedicated, specific time. It might be helpful if you need to deal with staff members individually (e.g. for payouts). You can set a time interval, which is the duration of an individual time slot. If you set it for 10 minutes, staff members will be able to sign up for slots in 10 minute intervals, e.g. 14:00, 14:10, 14:20 etc., one worker for one slot.
    • Location name - Place where the appointment will be happening.
    • Amount of staff members
    • Sign-off limit (hours) - How many hours before the appointment starts can staff members sign themselves off. After this limit, they always have to contact an administrator to do it for them.
    • Contact person
  3. Tick the box Attendees can see each other if you want the attendees to be able to see a list of all people attending the appointment.
  4. Click Save.

  1. After saving a new appointment, you will be redirected onto the appointment detail page where you see an overview of the previously filled in information and the list of attendees. You can add staff members manually to the list by clicking Add staff.
  2. From this page, you can Edit, Copy or Delete the appointment.
  3. You can also easily send group text messages, email newsletters and download an attendance list in .pdf or .csvformat by clicking the respective buttons.

Appointment list

You can see an overview of all of the appointments ever created in the appointment list. Go to CommunicationAppointments. You can search within list of upcoming or past appointments. In the overview table you can see the main information about the appointments (there is also an ID which is automatically generated by the app).

  1. You can search any appointment by location, date or type in the Filter section at the top of the page.
  2. In the Options section on the right, you can Edit, Copy or Remove a selected appointment.

Worker portal

Staff member can sign up for an appointment you created through their portals by going to the main menu on the left and clicking Appointments. There they see a list of all of the existing appointments. They can open any of them for more information, and sign up and sign off.
